Internal Operations Support Coordinator (40–50%)

Argusa is a Swiss consultancy specialised in data, analytics and AI, based at the EPFL Innovation Park in Lausanne.
We help organisations turn their data into concrete decisions and better performance – through expert projects, training and long-term partnerships.

We are a small, high-calibre team: curious, pragmatic and close to our clients. We care a lot about quality, autonomy and trust.

We’re looking for a part-time (40–50%) Internal Operations Support Coordinator who enjoys wearing several hats: branding & marketing, recruitment support, and executive assistance.

Your mission

Your role is to help Argusa look good, attract the right people, and run smoothly.

You’ll work closely with the leadership team and be involved in three main areas:

  • Branding & Marketing
  • Recruitment support
  • Executive assistance & coordination

Many processes and templates already exist; your job is to bring them to life consistently and improve them over time.

What you will do

1) Branding & Marketing
  • Create visual assets using tools like Canva (social media posts, event visuals, simple one-pagers, internal visuals, etc.)
    • You will have access to brand guidelines and templates, so you’re not starting from a blank page.
  • Draft and adapt copy (EN/FR) based on technical material from Argusa (articles, talks, project descriptions, training content).
  • Post regularly on LinkedIn (company page and, where relevant, support for selected team members) and help maintain a consistent presence.
  • Support the organisation and promotion of events (Argusa events or partner events):
    • creating visuals and descriptions
    • supporting registrations and communication
  • Help keep our marketing processes and resources documented, organised and up to date.
2) Recruitment support
  • Use and maintain our custom recruitment platform (you will be fully onboarded and trained).
  • Follow our documented and tested hiring process to:
    • review incoming applications
    • coordinate interviews
    • support assessments and feedback consolidation
  • Participate in the selection process and help us identify candidates with strong potential to succeed at Argusa.

This is not a standalone HR role: your involvement is structured, guided and supervised by the leadership team.

3) Executive assistance & coordination
  • Support the executive team with curation and organisation of digital material (slides, documents, shared folders, notes).
  • Help coordinate and schedule meetings (internal and external):
    • aligning agendas
    • sending invites
    • ensuring people have the right information before meetings
  • Provide general coordination and follow-up support on internal initiatives (reminders, light documentation, checklists).
What we are looking for
  • You enjoy structure, clarity and aesthetics – in both text and visuals.
  • You’re comfortable switching between tasks: one moment preparing a LinkedIn post, the next scheduling interviews.
  • You write clearly and professionally, and can adapt technical input into accessible copy.
  • You are digitally fluent: Canva or similar tools, office suite, and happy to learn new platforms.
  • You are reliable, organised and discreet – people can trust you with information and deadlines.

Languages and other non-negotiables

  • French: very good level (spoken and written – this is the internal working language)
  • English: good working level (much of our marketing content is in English)
  • Resident in Switzerland
  • Have the right to work in Switzerland

Experience

  • Experience in one or more of the following areas is appreciated: marketing/communication, employer branding, recruitment coordination, executive assistance, office management.
  • Experience in consulting, tech or a small growing company is a plus, but not a requirement.
  • We value your mindset and way of working more than a specific job title on your CV.
